Terms, policies & clinic standards.

Our policies protect your safety, your appointment and the professional time reserved for you. They are written to be clear, not to catch anyone out.

Before you book

Honesty helps us treat you safely.

Please read the sections relevant to your appointment and tell us about anything that may affect treatment before attending. A booking is not a guarantee that a procedure will be suitable; the final decision follows consultation and assessment.

01Booking fees, cancellations and no-shows

A booking fee may be required to reserve dedicated clinic time, treatment space and preparation. Please give at least 24 hours’ notice if you need to cancel or rearrange.

Late cancellations and non-attendance are chargeable under the terms shown when booking. A booking fee may be retained, and any applicable outstanding charge may need to be settled before another appointment is accepted. Repeated late cancellation or non-attendance may result in future bookings being declined.

02Age and identification

Cosmetic botulinum toxin and filler treatments are not provided to anyone under 18. In England, it is also unlawful to make arrangements for these treatments for a person under 18, even with parental permission, except in the limited medical circumstances set out in law.

Other age-appropriate services for clients under 18 are considered only following consultation, with parent or guardian involvement and any medical confirmation required. We may request proof of age and reserve the right to decline treatment.

03Pregnancy and breastfeeding

As a clinic policy, we postpone elective aesthetic treatment during pregnancy and breastfeeding unless the specific service has been individually assessed and confirmed appropriate. Please tell us before booking so that neither your time nor the clinic appointment is wasted.

If you are pregnant, may be pregnant, are breastfeeding or are trying to conceive, do not withhold this information. Existing courses can be reviewed and safely paused where needed.

04Health information, medication and consent

You must provide complete and accurate information about your health, medication, supplements, allergies, previous procedures and current symptoms. Suitability can change between appointments, so please update us even if you have previously been treated.

Consent must be informed and freely given. You may change your mind before treatment. We may postpone or decline a procedure if safe consent or treatment suitability cannot be established.

05Cancer treatment and medical clearance

Clients who are undergoing active cancer treatment may still be considered for some appropriate clinic services, but treatment must not be booked or carried out without prior medical clearance.

Please obtain written confirmation from your oncology consultant or treating clinical team that the specific proposed treatment is appropriate. This must be shown to the clinic before the appointment. Medical clearance does not guarantee that treatment will proceed: VIP Cosmedics will still complete its own consultation, contraindication and suitability assessment and may postpone or decline treatment where necessary.

06Patch testing for tinting and permanent makeup

Where a patch test is required for a tinting or permanent makeup procedure, it must be completed at least 72 hours before treatment. This allows time to identify a possible sensitivity before the full procedure is carried out.

A previous treatment or patch test does not always remove the need for a new one, particularly if products, pigments, medicines, allergies or your health have changed. Please tell us about any reaction, even if it appears mild. If the required patch test has not been completed within the correct timeframe, treatment may be postponed and the booking policy may apply.

07When treatment cannot proceed today

Treatment will be postponed where there is active infection, an open wound or disrupted skin barrier at the treatment area; an active cold sore for lip or nearby facial treatment; acute illness or fever; an acute injury or broken bone in the area; or another condition that makes the planned procedure unsafe.

Alcohol or drug intoxication, impairment, or any inability to give informed consent means treatment will not proceed. A changing, bleeding or suspicious lesion must be medically assessed rather than cosmetically treated.

Some medicines and conditions require individual review rather than automatic refusal. Anticoagulants such as warfarin can increase bleeding and bruising risk and may make an invasive treatment unsuitable or require medical guidance. Never stop prescribed medication for an aesthetic procedure unless the prescribing clinician tells you to.

08Treatment-specific contraindications

There is no single list that safely applies to every treatment. Laser, injectables, permanent makeup, microneedling, radiofrequency, cryotherapy and other procedures each have different exclusions and precautions.

Your consultation and pre-treatment forms form part of the safety assessment. Recent tanning, certain medicines, previous reactions, immune or healing concerns, uncontrolled medical conditions and recent procedures may require postponement, a different treatment plan or medical clearance.

09Respect, safety and conduct

VIP Cosmedics has zero tolerance for abuse, harassment, intimidation, discrimination, threats or aggressive behaviour towards staff, practitioners, other professionals or clients.

Anyone behaving unsafely or abusively may be asked to leave, have treatment stopped, be refused future appointments and, where appropriate, be reported to the relevant authorities. Alcohol or illegal drug use on the premises is not tolerated.

10Results, aftercare and client responsibility

Biological results vary and cannot be guaranteed. We explain the intended benefits, material risks, alternatives, likely course, downtime and costs before treatment. Photographs may be recommended for clinical records; marketing use requires separate permission.

You are responsible for following the pre- and post-treatment advice supplied. Contact the clinic promptly about an unexpected response. Severe or rapidly worsening symptoms require urgent medical assessment rather than a social-media message.

11CCTV and privacy

CCTV operates on the clinic premises for safety, security and the prevention or investigation of incidents. Appropriate signage is displayed. Recordings are handled in line with applicable data-protection requirements and access is restricted to authorised purposes.

Questions about CCTV footage, personal information or your data rights should be directed to the clinic. Further privacy information, including the purpose and retention arrangements for recordings, is available on request.

12Complaints and concerns

Please raise any concern with us as soon as possible so we can understand what happened, review the clinical record and respond fairly. A written complaint is acknowledged and handled confidentially under the clinic complaints process.

These terms support safe and respectful care. They do not affect your statutory rights. We may update clinic policies when regulations, professional guidance or services change.

Important distinction

Not every precaution is an absolute contraindication.

Some concerns mean treatment must not proceed; others mean we postpone, adapt the plan or request medical guidance. Please do not stop medication or make health decisions based on website information. Contact us before booking if you are unsure.
